REP DAILY BRIEF

The digest told you. Did anyone tell the rep?

Your morning digest says which customers were left waiting and by whom. The rep it names hears nothing. In WAOversight, every rep is emailed their own chats each morning: who is waiting on them, what was escalated, what runs out today, and how yesterday went by their own numbers.

Each morning WAOversight emails every rep a brief of their own WhatsApp chats on the company number they hold: the customers waiting for their reply, longest first; escalations still open; findings and deadlines due today; missed calls nobody returned; and yesterday's figures beside their own week. Never a message.

THE BRIEF

Marcus's Thursday, before he opened a single chat.

The brief Marcus Webb received on Thursday 15 October at 08:00. Jordan M. has waited since Tuesday, Megan escalated it on Wednesday, Kevin T. rang and nobody went back, and Wednesday's figures sit beside Marcus's own week.

The first line is the one thing that matters most: 1 customer waiting, past the 4-hour target. Escalations come next, with how long ago and how many reminders, then the open findings, the calls nobody returned, and only then yesterday.

Every figure is the same one the team analytics and the manager's digest print for Marcus, and the bracket beside it is his own average over the last 7 days, never another rep's.

Nothing in it is a word from a chat: Jordan is named, with his number, and the conversation is on Marcus's phone, where it already is.

  • Past the 4-hour target
  • Reminder 2 came at 09:00, after this

TWO EMAILS, ONE RECORD

What the rep gets, and what the manager gets.

Both are built from the same archive the same morning. The manager reads the team; the rep reads their own chats, and nobody else's.

What the rep gets

The brief opens on the customers waiting for the rep's reply right now, on every company number they hold, longest wait first, each with the customer's name and number so the rep can open the chat on their phone. A wait a colleague already answered from another linked number is not listed, and a wait past your reply SLA is marked.

Then the escalations still open on their chats, with how long ago each was escalated and how many times they were reminded. Then the open findings on their chats, named by the rule or by the kind of finding, such as a promise overdue, and any deadline rule that runs out before the end of the day. Then the missed calls on their number that nobody has gone back to.

Yesterday follows: messages sent, threads, customers spoken to, mean reply on your business-hours clock, the share of replies inside your target, calls in and out, and talk time. Each one sits beside the rep's own average over the last 7 days, and never beside another rep's.

A section with nothing in it is left out. A rep with nothing waiting and no traffic yesterday gets no email that day.

When it arrives

An owner or admin switches the brief on for the workspace, chooses the time on the quarter hour in the workspace's timezone, 08:00 by default, and which days of the week. Your holidays are skipped unless you say otherwise. It is off until somebody switches it on; the first brief is the first scheduled morning after that, and nothing older is sent.

Each rep gets it once a day. A rep can be switched off on the same page without switching the brief off for everyone.

Who gets it

Every active rep who holds a company number, at the email address on the Registry. A rep who also has a WAOversight login gets it there instead, with a line in their notifications and a button to the queue narrowed to their own chats, and can switch it off themselves. A rep with no address and no login cannot be reached, and the settings page says so.

It goes by email only. Nothing is sent on WhatsApp: the escalation number sends escalation notices and nothing else, and a message to every rep every morning is the pattern WhatsApp bans numbers for.

What it never carries

No message from a chat. Not a quote, not the words a rule matched, not Nora's reasoning. A customer waiting is named, and the conversation is on the rep's phone, where it already is. It is the rule the manager's digest keeps, for the same reason: an email is a copy outside the archive and its access log.

What this does not do

  • It does not rank reps or show one rep another's figures. The only comparison in it is the rep against their own last 7 days.
  • It does not send a message, to a customer or to anyone. No linked number can send through WAOversight.
  • It does not open the rep's chats to anyone. Reading a conversation still needs a sign-in and is written to the access log first.
  • It cannot see a reply made outside WhatsApp. A customer answered on an ordinary phone line still reads as waiting.
  • It does not replace the manager's digest. Managers get the team; the rep gets their own.
  • It depends on the number staying linked. A number that dropped its link stops capturing, and that rep's brief runs short until it is relinked.
  • It is not a scorecard. The figures are the same ones on the team analytics, defined in the metrics guide; what a rep does with them is between them and their manager.

QUESTIONS

What managers ask about the rep's brief

Can each sales rep get a daily report of their own WhatsApp chats?

Yes. Once an owner or admin switches the rep daily brief on, every rep who holds a linked company number is emailed each morning: the customers waiting for their reply, escalations and findings on their chats, deadlines due today, missed calls nobody returned, and yesterday's figures beside their own 7-day average. It names customers and their numbers, never a message.

Does the rep see other reps' numbers?

No. The brief carries only the rep's own figures, and the one comparison in it is against their own last 7 days. The team view stays with managers.

Is it sent on WhatsApp?

No, by email only. The escalation number sends escalation notices and nothing else, and a daily message to every rep from one number is exactly what gets a WhatsApp number banned.

What if a rep has no email address?

They get nothing until one is added on the Registry. The rep daily brief page lists every rep and says which cannot be reached. A rep with a WAOversight login gets the brief through that login instead.

Can a rep switch it off?

A rep with a login can, under their notifications. Otherwise an owner or admin can switch one rep off on the rep daily brief page, or switch the brief off for the workspace. The email's footer says so.

My team will think I don't trust them.

Then tell them, which you have to do anyway. Nothing here is hidden from your team: they are told which numbers are archived and why, before you link one. Your own reading is on the record too, because every manager view is written to an access log that your workspace owner and your auditors can read, and that nobody can edit or switch off. Send them our employee page before you roll it out.

How much work is setup?

One QR scan per number, about a minute each. Nothing for reps to install, no number changes, no migration. A ten-person team is live inside an hour.

Tell the rep too.

Link a company number, switch the brief on, and tomorrow morning every rep knows who is waiting on them before their manager has to say it.
