Two different problems that get one answer

"There is no single place to see how the team is handling customers." That sentence, or one very like it, opens most of the guides on this subject, and it is exactly right. What follows it is a migration to the WhatsApp Business API, which solves a different problem: how several people work one inbox together, with assignment, bots and broadcasts. That is a throughput problem, and it changes how reps work.

Yours is a visibility problem. Your reps already reply from the WhatsApp Business app on company phones, and it works. What you cannot do is see it: who replied, who is waiting, what was promised, what was deleted, what a resignation takes with it. A visibility problem needs a view, not a migration, and it should leave the reps alone.

Option 1: by hand

The Monday huddle, the borrowed phone, the rep reading you the thread. It works up to about 3 reps who sit near you, and it stops working the day one of them is on the road. It tells you what reps report, which is not the same as what happened, and it tells you nothing about the customer who messaged on Thursday and never heard back, because from the rep's side there was nothing to report.

Option 2: link your laptop to each number

WhatsApp allows up to 4 linked devices per number, so a manager's laptop can be one of them, one browser profile per rep. You get that rep's chats live, in one tab. You do not get a list of who is waiting, response times, anything across numbers, or a deleted message after it is deleted, and the session drops if the phone is unused for 14 days. It is a fair choice for 2 reps and it is what most managers try first; linking a manager's laptop to each number has the full treatment, including the steps.

Option 3: a management view, reps keep the app

The same companion-device mechanism, done once, on the company's side. Each company-owned number is linked to one dashboard with a QR scan from the phone: one scan, about a minute. Option 4: migrate to the API and a shared inbox

Right when the problem really is throughput: bots, broadcasts beyond the app's limits, several people replying as one number, a support desk with inbound volume the phones cannot absorb. It costs a number migration, retraining, template approval and Meta's per-conversation fees, and the customer's conversation moves off the phone into a tool. Company phone, company number, company view

The number the customer saves has to be the company's. A rep who sells from a personal number takes the customers with them when they leave, and no tool fixes that afterwards. On a company-owned number the history, the open threads and the promises stay with the number and can be handed to the next rep without a number change.

Do we need the WhatsApp Business API?

How many devices can link to one WhatsApp Business number?

Up to 4 linked devices at a time. Linked devices keep working while the phone is offline, but they are logged out if the phone is not used for more than 14 days. A rep's own laptop and tablet count against the 4.

Does the manager need a phone for each number?

No. The company phone stays with the rep. Linking takes the phone in your hand for about a minute, once, to scan the code. After that the dashboard reads the number through the link and the rep carries on.

Can reps still use WhatsApp Web?

Yes. The link to WAOversight uses one of the number's linked-device slots and leaves the rest for the rep. WhatsApp Web, a tablet, a second phone: whatever they used before still works.
