What the WhatsApp Business API is for

The API is Meta's official channel for programmatic messaging. It lets many agents reply as one number, runs bots and automated flows, sends broadcasts past the limits of the app, and plugs into CRMs and support desks at scale. Meta charges per conversation and your provider charges on top. For a support desk taking hundreds of inbound chats a day, or a marketing team sending templated campaigns, it is the right tool and we say so. The API inbox tools page names the products.

What the API is not is a way to see your team. It is a way to route and send. Adopting it moves the number off the phone app: reps reply from an inbox in a browser or a new app, templates need approval, and the thing that was working, your reps selling from the WhatsApp Business app on company phones, changes.

What a sales manager on a phone-first team actually needs

Four questions, none of them a sending problem. Are new leads being answered, and how fast? What is each rep doing this week, in real customer terms rather than message counts? What was promised to a customer, and was anything deleted afterwards? And when a rep leaves, what walks out with them? A migration answers none of those directly. A view of the company numbers answers all four, and leaves the reps exactly where they are.

Route 2: stay on the app, add Coexistence

Meta's Coexistence lets the WhatsApp Business app and the API share one number, through a provider that supports it. The phone keeps working; the API side adds broadcasts, automation and the tools built on it. It suits a team that wants the API's sending features without giving up the phones. What it does not give you, by itself, is a manager's view across numbers: what you see is whatever the tool attached to the API side shows. Availability and scope depend on the provider, so ask before you plan around it.

Route 3: migrate to the API and an inbox

The number moves onto the API and out of the phone app. Reps work from a shared inbox, several of them can reply as one number, bots and broadcasts are available, and every conversation is a record in the inbox tool. The costs are the migration itself, template approval, per-conversation fees, per-seat pricing, and a team that has to relearn where the customer lives. Right for support desks and broadcast-heavy sales. Wrong for 8 reps who close deals from a handset.

Choose the API if

  • Several people need to reply as one number, with assignment and hand-off between them.
  • You need bots or automated flows in the conversation.
