GUIDE
WhatsApp tracking for a sales team: what you can see, and how.
The phrase covers three very different tools. One of them is built for a phone you own outright and use yourself. One syncs chats into a CRM. One is a management view of company numbers. This page tells them apart, then lists exactly what a management view can and cannot show you.
WhatsApp tracking for a sales team means a management view of the customer conversations on company-owned WhatsApp Business numbers: who replied and how fast, who is still waiting, which calls were missed, what was promised and what was deleted. Each number is linked with one QR scan, nothing is installed on any phone, and no WhatsApp Business API is needed.
WHAT YOU CAN TRACK
Eight things a management view shows you about company WhatsApp numbers.
Each row is a number a sales manager already asks about out loud. Each one has a page that defines it and shows the screen.
| What it answers | Where it lives | |
|---|---|---|
| Who replied, and how fast | Median first reply per rep, against your business hours, and the longest anyone waited. | Response tracking |
| Who is still waiting | Every customer without a reply, ranked by how long they have waited, and the conversations that have gone quiet. | Coverage |
| Calls, in and out | Direction, whether the call connected, how long it ran, and the missed calls nobody returned. No recording. | Call tracking |
| How many customers each rep spoke to | Unique customers engaged in the period, split by who messaged first. Message volume is never the score. | Activity dashboard |
| What was deleted or edited | The original text, kept with the time it was sent and the time it was removed. Every earlier version of an edit. | Deleted message capture |
| Who is carrying the team | Conversations, replies and waiting customers per rep, side by side, so a quiet number stands out. | Team performance |
| What stays when a rep leaves | The customer history, open threads and promises stay with the company number and can be reassigned. | Rep turnover |
| What was said, by keyword | Every conversation on every linked number, searchable from any desk, with each search written to the access log. | The product |
Three things people mean by WhatsApp tracking
A tracker app on the handset. Most of what ranks for the bare phrase is this: an app installed on an Android phone that reads everything on it, WhatsApp included, and sends it to a dashboard. The honest ones are sold to parents. On a company phone it reads personal use as well as business use, it is usually hidden from the person holding the phone, and it needs to be installed and kept working on every handset you issue. That is the wrong tool for a team you want to keep.
A CRM extension or an API inbox. Chats are synced into a CRM, either through a browser extension on WhatsApp Web or by moving the number onto the WhatsApp Business API. You get the conversation as a CRM record and, with the API, a shared inbox. The cost is that reps now sell from a laptop or from a new tool, and what was working on the phone changes. Sometimes that is the right call. It is a different purchase from tracking.
A management view of company numbers. This is what WAOversight is. Each company-owned WhatsApp Business number is linked as a companion device, the same mechanism as WhatsApp Web, with one QR scan. From that moment every message and every call on that number is captured once into an archive nobody can edit, and the dashboard reads from it. Your reps keep using the WhatsApp Business app on their company phones exactly as before. Nothing is installed on any phone.
What a management view cannot track, on purpose
- Personal WhatsApp. Only company-owned numbers can be linked. A rep's own phone is never part of it.
- Location, online status or last seen. None of it is read. Presence is not captured at all.
- Call audio. Calls are logged, never recorded. You know a call happened, in which direction, whether it connected and how long it ran. You never hear it.
- Anything before the link. Messages from before a number was linked are not recovered. Calls appear as far back as WhatsApp's own call log on the handset goes.
- Anything on a number you did not link. There is no way to see a number without holding the company phone and scanning the code.
Every one of these is a limit we chose. A tool that could see more would be a worse fit for the one buyer we are built for: a sales leader who wants to know which customers were left waiting last week, and by whom, and has no interest in anyone's private life.
How it works: one QR scan per number
Sign in, choose Link number, and open WhatsApp Business on the company phone. Under Linked devices, scan the code on screen. WhatsApp registers WAOversight as a companion device, and capture starts. It takes about a minute per number, and a 10-person team is usually live within an hour. The how it works page covers what happens after a message arrives and why a crash cannot cost you one; the reliability page publishes what can interrupt capture and how often it has.
Telling your team
You tell them before a number is linked, and the link stays visible on the company phone under Linked devices for as long as it exists. There is no stealth mode. Every conversation a manager opens, every search and every export is written to an access log before the data is shown, and nobody can edit or switch that log off. Send your reps the employee page before you roll it out; it is written for them, not for you.
Which kind of tool fits your team
If your reps sell from the WhatsApp Business app on company phones and you want to keep it that way, you want a management view. If you are ready to move the number onto the API and give reps a new inbox, buy an API inbox tool instead; the comparison says plainly when that is the better purchase. If what you actually need is call recording, that is a call-logging app on Android, and it is not us. The tracker apps comparison puts all four side by side.
QUESTIONS
What a sales leader asks before tracking WhatsApp
What is WhatsApp tracking for a sales team?
A management view of the customer conversations on your company-owned WhatsApp Business numbers: who replied and how fast, which customers are still waiting, which calls were missed and never returned, what was promised, and what was deleted. It is not an app on anyone's phone and it does not touch personal WhatsApp.
Can you track WhatsApp calls as well as messages?
Yes. Every WhatsApp voice and video call on a linked company number is logged with its direction, whether it connected, was missed or was rejected, and how long it ran. Audio is never recorded. The call tracking page explains where each figure comes from.
Can I track my reps' personal WhatsApp?
No, and there is no setting that changes that. WAOversight links company-owned WhatsApp Business numbers by QR code. A rep's personal WhatsApp on their own phone is not linked, not visible and not touched. If a rep sells from a personal number today, the fix is a company number, not a tracker.
Do I need the WhatsApp Business API to track my team's WhatsApp?
No. WAOversight is built for teams that keep using the WhatsApp Business app on company phones. Each company-owned number is linked with one QR scan, the same mechanism as WhatsApp Web, and capture starts from that moment. No migration, no new inbox, nothing installed.
Is this a spy app?
No. Company-issued numbers only. Nothing installed on anyone's phone. No stealth mode. Your team is told before a number is linked, and every manager view is written to a log nobody can edit. Spy apps hide from the person being monitored; this one is announced to them.
Is this even legal?
On company-owned numbers with written notice to staff, in most jurisdictions yes. We give you the policy and acknowledgement form to get it signed off. We are not lawyers; we give you the paperwork your HR needs.
My team will think I don't trust them.
Then tell them, which you have to do anyway. Nothing here is hidden from your team: they are told which numbers are archived and why, before you link one. Your own reading is on the record too, because every manager view is written to an access log that your workspace owner and your auditors can read, and that nobody can edit or switch off. Send them our employee page before you roll it out.

Link one company number. You will know, before your Monday meeting, exactly which customers were left waiting last week, and by whom.
