WhatsApp daily sales report: the one reps never write

Build it from the conversations, not from the reps. Link each company-owned WhatsApp Business number once, and every morning an email reports yesterday for the team and for each rep: messages sent, threads, mean reply time, calls and talk time. Nobody fills in a form, and no message text is ever in the email.
Most sales teams that sell on the WhatsApp Business app already have a daily sales report. It is a form, a spreadsheet row or a message in a group chat, and it arrives some time after 6pm from each rep on a company phone: “Leads 6, follow-ups 9, quotes 2, closed 1.”
This post is about replacing most of that report with one nobody has to write. Not a better template. A report that comes from the company numbers themselves and lands in your inbox every morning, so the form your reps fill in can shrink to the 3 lines only they know.
What a rep-written daily sales report records
A daily sales report, or DSR, written by the rep records what the rep remembers and chooses to type, at the end of a long day, from memory. That is not a criticism of reps. It is what any of us would produce.
It also has 3 blind spots that no template fixes. The customer who messaged at 19:40 and was never answered is not in it, because nobody remembers a message they did not open. The busiest rep writes the shortest report, because they have the least time left. And none of it can be checked, so the rep who reports carefully looks worse than the rep who rounds up.
Then there is the cost. 12 reps writing a report every evening is 12 small chores a day, and the manager still has to read 12 messages and add them up before knowing anything about the team.
Which fields WhatsApp can fill in for you
Some of a daily sales report is already written down, in the conversations on your company numbers. Some of it never will be, and pretending otherwise is how a report starts lying.
| Report field | Written by the rep | Built from your company numbers |
|---|---|---|
| Messages sent | Rarely counted | Counted, per rep |
| Conversations worked | An estimate | Thread count, per rep |
| Customers spoken to | A guess | Active customers, if your CRM is connected |
| How fast customers were answered | Never | Mean reply time, on your business hours |
| Calls made and taken | From memory | Calls in and out, and talk time |
| Customers still waiting on you | Not reported | Listed by name, with Nora on |
| Orders, revenue, deal stage | The rep | Not here: that belongs in your CRM |
| Visits and meetings in person | The rep | Not here: they never touch WhatsApp |
The bottom 2 rows are the point. A report built from WhatsApp is a report of what happened on WhatsApp. It does not know an order value unless your CRM does, and it cannot see a showroom visit.
What arrives each morning
Once your numbers are linked, the team analytics are summed up for the previous day and sent as an email every morning. The subject line is the day in one sentence:
Yesterday on WhatsApp: 486 messages, 63 threads, 14 min mean reply
Those are demonstration figures, from our sample workspace. Inside the email, in order:
Team totals. Messages sent, thread count, active customers, mean reply, calls in, calls out and total talk time. With a CRM connected, the calls in and out also show how many were with customers your CRM knows.
A row for each rep. The same figures, side by side, so a quiet day and a busy day are visible at once. A rep who has left keeps their row, marked as former, for the days they worked.
Anything that needs you today. On any plan, with Nora, the AI that watches your queue, switched on, the email lists what needs attention: the finding, the customer, the rep and the date it is due. A missed reply, a promise that is overdue, a customer signal. If any of your detection rules have items open, they are listed too, by rule name and count.
The morning report. On the same plan, when anything is open, a PDF is attached with every finding still open that morning. Escalated cases come first, in red, and work carried over from earlier days is marked.
Two notices can sit at the very top. If a linked number has stopped capturing, the email says so first, because conversations on it are being missed right now. And if the night’s count for yesterday has not finished, the figures that depend on it are marked provisional rather than printed as zero.
What is never in the email
No message text. Not a quote, not a preview, not the line that triggered a finding.
An email lands in an inbox you do not control, gets forwarded, and sits on phones. Reading a customer conversation in WAOversight is an act that is written to an access log before anything appears on screen, and an email that quoted messages would be a way round that log. So the email and its PDF carry kinds, names, dates and links. The detailed report, with the messages behind each finding, is one click away behind your sign-in, and every conversation opened from it is logged.
Who gets it
Owners, admins and managers. A manager’s copy covers only the reps in the teams they manage, exactly as their dashboard does, so a manager of one team never sees another team’s names.
Reps get an email of their own, not this one: the rep daily brief lists the customers waiting on them, what was escalated or found on their chats, and yesterday’s figures beside their own week, never another rep’s. Anyone who gets the manager’s email can switch it off in their notification settings, and it comes once a day: a second run on the same morning does not send it twice.
How to read a daily report without making it a scorecard
Start with what needs you today. Those are customers, and some of them are still deciding.
Then read the rep rows as a picture of load, not a ranking. A rep with twice the threads of anyone else and a slower reply time is carrying too much, not trying too little. Mean reply is counted on the business hours you set, so a message at 23:00 answered at 09:05 is not a 10 hour failure, but a mean is still pulled up by one long wait. For the median, the waiting list and the longest wait, read are my reps replying on WhatsApp, which sets out the 3 numbers and the Monday read. For a target, how fast should you reply covers setting one from your own figures.
One day is noise. Five mornings in a row is a pattern worth a conversation, held with the team rather than about them, and how to coach sales reps from real WhatsApp conversations sets out how to hold it.
What to keep in the rep’s report
Do not abolish the rep’s report. Shrink it to what only the rep knows:
- Meetings and visits that happened off WhatsApp.
- Orders and amounts, if they are not already in your CRM.
- One thing that is stuck, and what would unstick it.
That is a short note rather than a form, and every line in it is something no system could have told you.
What this does not do
No history before the link. Capture starts the moment a number is linked, so the first report covers that day from then on. Nothing before it is in any report.
No personal phones. It covers the company-owned numbers you link with one QR scan per number, and nothing else.
No revenue figures. It reports conversations and calls. Pipeline and revenue stay in your CRM.
Nothing sent to customers. The report is for you. No customer is messaged, nudged or chased.
Nothing hidden. Each link shows on the phone under Linked devices, and your team is told before any number is linked. Here is the page we wrote for your reps.
FAQ
How do I get a daily sales report from a WhatsApp sales team?
Link each company-owned WhatsApp Business number once, and an email every morning reports the previous day for the team and for each rep: messages sent, threads, mean reply time, calls and talk time. Reps keep using the app on their phones and do not fill anything in.
Can the WhatsApp Business app send a daily report?
No. The app’s statistics count messages sent, delivered, read and received on one phone, for one number. There is no scheduled report, no reply times and nothing that covers more than 1 number.
What should a daily sales report include?
What happened and what needs doing. From WhatsApp: messages, conversations, reply times, calls and the customers still waiting. From the rep: meetings off WhatsApp, order values your CRM does not hold, and anything stuck.
Are customer messages included in the email?
No. The email and its attachment carry finding kinds, customer and rep names, dates and links. Messages stay behind your sign-in, and opening one is written to the access log.
Do reps get the daily report?
No. It goes to owners, admins and managers, and a manager sees only their own teams’ reps. Reps are told about the link before their number is connected, and nothing on their phone changes.
