CRM INTEGRATIONS

Tell it who your customers are, and the noise drops out.

A company number talks to customers, suppliers, colleagues and cousins. Your CRM already knows which is which.

SCOPE CHANGE

47 → 19Open items shown by default, after switching the queue to customers.

486 contacts matched · 39%

For sales leaders whose reps work leads in the WhatsApp Business app on company phones, WAOversight connects to HubSpot, Salesforce, Zoho CRM or a spreadsheet, matches every CRM phone number to a conversation in the archive, and marks each chat as a customer, one of your own numbers, or unmatched. The queue, inbox and coverage board then show customers first.

01 — WHAT THE MATCH DOES

The same queue, with the customers in front.

5 open items on a Monday morning. 2 are customers your CRM knows. 3 are numbers it has never heard of.

  • 19Shown first, once customers lead
  • 28On unknown numbers, still counted
  • Every phone number in the CRM is read, brought to one international format, and matched exactly against the numbers in the archive. 077 123 4567 and +1 512 555 0193 both match, because the country is read from your own linked numbers.

  • A match marks the conversation as a customer. A number that belongs to one of your own linked phones is marked as internal. Everything else stays unmatched, and stays visible.

  • Nothing is deleted or hidden from the archive. The lens changes what the queue shows first and who gets interrupted, not what was captured.

02 — IN THE QUEUE

Customers first. Unknown numbers one step lower. Nothing gone.

The queue with the lens on: 19 open items instead of 47, a banner saying so, and the 28 unmatched items one click away.

Unmatched numbers are downgraded, not dropped. An item that was critical shows as high, with the original severity beside it. A manager who wants everything presses “All chats”.

The scope is a workspace setting, changed by an owner, and every change is in the audit log with who made it and what it hid.

  • Was critical, shown as high because the number is unmatched
  • 28 items on unknown numbers, always counted

04 — BEFORE AND AFTER

What changes

TODAY

The queue treats every conversation the same. An SLA breach on a rep's cousin sits above the one on a live deal, and by the third day nobody opens the queue at all.

WITH WAOVERSIGHT

You connect the CRM once. The queue shows the customers your CRM knows, the inbox has a customers-only filter, and the coverage board lists the CRM customers no number of yours has ever spoken to.

05 — LIMITS

What this does not do

  • It does not put messages into your CRM. A CRM record is editable; the archive is not. The most it will ever write to a CRM is a dated note saying a WhatsApp conversation exists, with a link that needs a login.

  • It does not delete or hide anything from the archive. An unmatched chat is captured, searchable and exportable exactly as before.

  • It does not guess. Two numbers that share their last digits are shown as a suggestion on the contact page for a person to confirm, never linked on their own.

  • It does not need the CRM to be tidy. Numbers stored without a country code are read using the country of your own linked numbers, and the ones it still cannot read are listed for you to fix at the source.

07 — QUESTIONS

What people ask about this

Which plan includes CRM integrations?

Team and above. Every connector on this page, the custom API adapter and the spreadsheet import are included from the Team plan, which covers up to 10 numbers. The Watch plan captures and shows every conversation on your numbers; it does not tell the queue which of them are customers. Plans are compared on the pricing page.

We already have a CRM.

Keep it. A CRM records that a conversation happened, written up afterwards by the person it reflects on. We show what was actually said, including what was deleted. Most customers run both.

How much work is setup?

One QR scan per number, about a minute each. Nothing for reps to install, no number changes, no migration. A ten-person team is live inside an hour.

Do we need the WhatsApp Business API?

No. WAOversight is built for teams that keep using the WhatsApp Business app on company phones. You link each company-owned number with a QR scan.

Can you see personal WhatsApp conversations?

No. WAOversight is for company-owned WhatsApp Business numbers. It is not designed to monitor personal numbers, and your team should be told which business channels are covered.

Find out what happened last week.

Fifteen minutes, your own numbers, no slides. If you don't see something that surprises you, we'll say so.
