Can you just link your laptop to each rep's WhatsApp Business number?
Yes. It is what most managers try first, it costs nothing, and for a very small team it is the right answer. This page shows you how, then shows you exactly where it stops, so you know which side of that line your team is on.
You can. WhatsApp Business allows 4 linked devices per number, so a manager's laptop can be one of them. What you get is 1 rep's chats at a time, no response times, no record of deleted messages, and a session that drops if the phone is offline 14 days. It works for 2 reps, not 12.

How to do it, in 3 steps
- Open a browser profile for the rep. On your laptop, create a separate browser profile per rep and open web.whatsapp.com in it. Two numbers in one profile collide.
- Link the device from the company phone. On the rep's company phone, open WhatsApp Business, go to Linked devices, choose Link a device, and scan the QR code on your screen.
- Tell the rep, and keep the phone in use. The link is listed on the phone under Linked devices. Tell the rep before you do it. The phone must be used within every 14 days or the link is logged out.
What you see
That rep's chats, live, in one tab, with media. You can search within that number. You can also reply as the rep, and you should treat that as the risk it is: a manager who answers a customer from a rep's number has just made the record of who said what unreliable, and the rep will not know it happened until the customer replies.
The 3 limits that end it
4 devices per number. Per WhatsApp's help centre, up to 4 linked devices at a time. The rep's laptop and tablet count. A rep who already uses WhatsApp Web has 3 slots, and your link takes one.
The 14-day rule. Linked devices are logged out if the phone is not used for more than 14 days. Leave, sick days, a resignation with the phone left in a drawer, a repair: each one ends the link without telling you.
One tab per number. Twelve reps is twelve browser profiles, twelve tabs, and no screen that shows all twelve. There is no list of who is waiting, no response time, no search across numbers, and no record of a deleted message, because the tab deletes it too.
When the do-it-yourself route is right
Two or 3 reps, one manager, no dispute history, no turnover in sight, and a manager who is disciplined about never replying from the tab. If that is you, do this and do not buy anything. The brief's buyer has 8 to 60 reps, which is where the tabs stop being a view and become a second job.
The same mechanism, done once, on the company's side
A management view links each company-owned number as a companion device to one dashboard: the same QR scan, one slot per number, and the reps' other slots untouched. What arrives is kept in an archive nobody can edit, so a deleted message stays with both timestamps, and the dashboard shows who replied and who is still waiting across every number. What managers ask before linking a laptop
Can I just link my laptop to each rep's WhatsApp Business number instead?
You can, and for 2 reps you probably should. Each number allows up to 4 linked devices, so a manager's laptop can be one of them. You get that rep's chats in one tab. You do not get who is waiting, response times, anything across numbers, or a deleted message after it is gone, and the tab logs out if the phone is unused for 14 days.
How many devices can link to a WhatsApp Business number?
Up to 4 linked devices at a time, per WhatsApp's help centre. The rep's own laptop, tablet or second phone count against the 4, so a rep who already uses WhatsApp Web has fewer free slots than you think.
Will the rep know my laptop is linked?
Yes. Every linked device is listed on the phone under Linked devices, with the option to log it out. Tell them anyway, before you link, in writing. A link a rep discovers by themselves costs more trust than any conversation it could have replaced.
Does WhatsApp Web show deleted messages?
No. When a message is deleted for everyone it is removed from the linked tab as well, and the tab shows the same 'This message was deleted' notice the phone shows. Only an archive that captured the message before the deletion still has it.
What happens if the phone is off for 2 weeks?
The linked devices are logged out. A rep on leave, a phone in a drawer after a resignation, a handset sent for repair: each one silently ends the link, and nothing tells you until you open the tab. A management view also links through the phone, so it sees the same 14-day rule, and it tells you the moment a link drops.
Do we see old conversations?
Capture starts when the number is linked, so history before that is limited. We say this upfront because it's the honest answer. We offer a one-time chat export import at onboarding to fill the gap.
