COMPARISON
Comparing WAOversight with Cooby.
Cooby makes WhatsApp visible in your CRM; we make it provable. Different jobs, and if you love Cooby, keep it.
For a sales team on the WhatsApp Business app choosing between Cooby and WAOversight: Cooby syncs WhatsApp into HubSpot or Salesforce and gives sales leaders activity visibility, with broadcast on the send side. WAOversight shows who replied, who is waiting and what was deleted on company-owned numbers, logs every manager view, and never sends. Many teams run both.
WHERE THE PRODUCTS DIFFER
The rows that decide this comparison.
Their column is drawn from their own site and pricing page.
| WAOversight | Cooby | |
|---|---|---|
| Deleted-message originals preserved | Yes, the original text with both the sent and deleted timestamps | No claim of deleted-message capture appears on their site. Unverified, so ask them |
| Metering | Capture is never metered. A message is in the archive or the product has failed | Synced-message caps of 6,000–10,000 per user per month, stated on their pricing page |
| Archive integrity | Append-only and hash-chained; you can verify nothing was altered | Conversations sync into the CRM, where records can be edited or deleted afterwards |
What Cooby does well
If the pain is "WhatsApp isn't in HubSpot", Cooby solves exactly that: conversations sync into the CRM without manual entry, and reps get an inbox with tabs, templates and reminders that they genuinely like. They carry a SOC 2 Type 2 badge, distribute through the HubSpot, Salesforce and Creatio marketplaces, and publish customer case studies. As a rep-productivity tool, it earns its seat.
On price, their Starter plan is $20.99 per user per month ($15.99 annually) and Growth is $31.99 ($25.49 annually). For a 10-rep team that is roughly $160–$320 per month, against our $99 Team band ($82 paid yearly), with every manager seat free.
A mirror is not a record
Cooby's marketplace pitch is "100% visibility over your team's activities on WhatsApp". Visibility into what is currently there. A synced conversation lands in a CRM where records can be edited or deleted afterwards, and nothing on their site claims deleted-message capture, immutability or retention control. That is an inference from absence, so verify it with them. Ask the mirror about the message a rep deleted at 11pm, the night before the complaint landed.
We are built for that question: the original text stays, with both timestamps, in an append-only archive you can verify. How the capture works explains the mechanics; the caps never apply because capture here is not metered. See pricing.
Three questions to put to Cooby
- If a rep deletes a WhatsApp message before it syncs, what does the CRM show?
- Who can edit or delete a synced conversation in the CRM afterwards?
- What happens the month a busy rep passes the synced-message cap?
Who should buy Cooby instead of us
- Your problem is CRM data entry, not oversight. Cooby removes the typing; we do not touch your CRM.
- Your reps want templates, reminders and a faster inbox. We deliberately change nothing for reps.
- You want to send from WhatsApp Web with structure. We have no send path, on purpose.
And if you want both the productivity and the record, run both; they do not conflict. If your team leans further toward a shared inbox, read the TimelinesAI comparison, or start from the compare hub.
COOBY QUESTIONS
What buyers ask about this comparison
How much does Cooby cost?
The Starter CRM plan is $20.99 per user per month ($15.99 paid annually) with a cap of 6,000 synced messages per user per month; Growth is $31.99 ($25.49 annually) with a 10,000-message cap. Unlimited sync, Salesforce, Zapier and webhooks sit on the Custom plan, which is contact-sales.
Should I keep Cooby if I already use it?
If you love it, keep it. It is a rep-productivity and CRM-sync tool, we are an archive, and the two do different jobs without conflicting. We answer the questions a CRM mirror cannot: what was actually said, what was deleted, who looked, and whether you can prove none of it was altered.
Does Cooby capture deleted WhatsApp messages?
No claim of deleted-message capture, archive immutability or retention control appears anywhere on their site, so treat it as not offered until they tell you otherwise. WAOversight preserves the original text of a deleted message with both the sent and deleted timestamps.
