MANAGER'S GUIDE

Should your sales team sell from company-owned WhatsApp numbers?

The customer saves the number the rep messages from. If that number is the rep's own, so is the customer, and so is everything either of them ever said. This guide covers what makes a number the company's, how to move a team onto company numbers, and how a manager oversees them without touching anything personal.

Yes. A company-owned WhatsApp number is a WhatsApp Business number on a line the company pays for and controls, used on a company phone. The customer saves the company's number, so when a rep leaves, the number, the conversations and the open threads stay. It is also the only kind of number a company can oversee.

Every row is about the number, not about any product. It holds whether you link anything or not.

What makes a WhatsApp number the company's

A number is the company's when 3 things are true. The line is on a contract the company pays for, in the company's name. The WhatsApp Business account on it is registered by the company, with the company's name on the business profile, and it runs on a phone the company issues.

A fixed line counts. The WhatsApp Business app can register a landline: choose Call me during registration and the code arrives as a phone call, though a number with an extension cannot be used. That suits a showroom or office number your customers already know.

Why a rep's own number fails the team

The customer saves whatever number messaged them. When that number is the rep's, so is the relationship: the history, the open quotes and the promises sit in an account the company has no claim to, and they leave on the rep's last day. No tool fixes that afterwards, because there is nothing left to link.

It also rules out oversight done properly. A rep's own WhatsApp holds their family and friends alongside your customers, and a manager has no business reading any of it. A company number holds only the company's conversations, which is what makes a management view of it reasonable.

How to move a team onto company numbers

The move takes 6 steps, in this order. The order matters: the team hears about oversight before any number is linked, not after.

  1. Get one line per rep in the company's name. A SIM or eSIM on a business plan, or a fixed line for an office number customers already know.
  2. Issue a company phone for each number. One phone per number keeps the company's WhatsApp Business account apart from the rep's own WhatsApp.
  3. Register WhatsApp Business in the company's name. Install the WhatsApp Business app, register the company number, and set the business profile to the company's name.
  4. Tell active customers once. Each rep sends their active customers the new number from the old one, once, so nobody is lost in the move.
  5. Tell the team in writing. Before any number is overseen, say in writing which numbers are covered and what a manager can see. The page for your reps does this for you.
  6. Link each number for oversight. One QR scan per number from the company phone, under Linked devices, and the number is in the manager's view.

Overseeing the numbers once they are the company's

Each company number is linked to a management view with one QR scan from its phone, the same companion-device mechanism as WhatsApp Web, and nothing is installed. From then on a manager sees every number in one place: who replied and how fast, who is still waiting, which calls were missed, what was promised and what was deleted.

The page on how oversight of company-owned WhatsApp numbers works has the steps, and what happens to a message after it arrives. Reps keep the WhatsApp Business app and reply from their phones exactly as before, and WAOversight never sends from a linked number.

Where oversight stops

At the company's numbers. A rep's own WhatsApp is not linked, not visible and not touched, and a tool that offers to read it is the wrong tool. If a rep still sells from their own number, the answer is a company number, not a way into theirs.

It is also visible to the team. The link shows on the company phone under Linked devices for as long as it exists, and every manager view is written to an access log nobody can edit. In most jurisdictions, overseeing a company-owned number requires that staff are told in writing. None of this is legal advice.

When a rep leaves

On a company number, a resignation is a handover, not a loss. The number, the history and the open threads stay, and the next rep picks up the number the customers already have saved. What a leaver leaves open is the part worth checking before their last day.

Collect the phone on the last day and hand it on. WhatsApp logs linked devices out when a phone goes unused for more than 14 days, so a company phone left in a drawer stops being overseen without anyone deciding that it should.

QUESTIONS

What managers ask before they move to company numbers

Should my sales team use company-owned WhatsApp numbers?

Yes, if your reps sell to customers on WhatsApp. On a company-owned number the customer saves the company's number, so the conversations and the customer stay when a rep leaves, and the company can oversee the number with notice to the team. On a rep's own number, both leave with the rep, and neither can be overseen properly.

Can a WhatsApp Business number be a landline?

Yes. The WhatsApp Business app can register a fixed line: choose Call me during registration and the code arrives as a phone call. A number with an extension cannot be registered.

What happens to the WhatsApp chats when a rep leaves?

On a company-owned number they stay. The number, the history and the open threads go to the next rep, and customers keep messaging the number they already saved. On a rep's own number they leave with the rep, and the company has no way to get them back.

Do we need the WhatsApp Business API for company numbers?

No. Company-owned numbers work in the WhatsApp Business app on company phones, and each one is linked for oversight with one QR scan. The API is for sending at scale and for several people replying as one number. Seeing your team needs neither.

Can you see personal WhatsApp conversations?

No. WAOversight is for company-owned WhatsApp Business numbers. It is not designed to monitor personal numbers, and your team should be told which business channels are covered.

My team will think I don't trust them.

Then tell them, which you have to do anyway. Nothing here is hidden from your team: they are told which numbers are archived and why, before you link one. Your own reading is on the record too, because every manager view is written to an access log that your workspace owner and your auditors can read, and that nobody can edit or switch off. Send them our employee page before you roll it out.

Link your first company number.

One QR scan on a 15-minute call, then look at what the archive holds. Your numbers, not a demo tenant.
