The WhatsApp handover when a rep resigns

If the number belongs to the rep, the chats leave with them: contacts, history and open deals. If the number is company-owned and archived, the conversations stay: the next rep reads the full history and continues, and the customer keeps messaging the same number they always used.
Every article about this starts on the rep’s last day. That is the wrong day. By the time someone resigns, the shape of the handover was decided months earlier, by one question: whose number were the customers messaging?
The 2 scenarios
The number is the rep’s own. Then the chats, the contacts and the customer’s habit of messaging that number are all theirs, legally and practically. There is nothing to hand over because there is nothing of yours to hand. You can ask nicely for a summary, and you will get whatever the person leaving chooses to remember.
The number is company-owned and archived. Then a resignation is a reassignment, not a loss. The number stays in service, the next rep opens the full history, sees what was quoted, what was promised and what is still open, and the customer keeps messaging the contact they already saved. No migration, no “please save my new number” broadcast, no gap the customer can feel.

What actually walks out the door
Not the customer list; you probably have that in a spreadsheet somewhere. What leaves is the state of every conversation: the discount that was floated but not confirmed, the delivery date the customer was told, the complaint that was smoothed over and how, the question asked on Tuesday that nobody else knows is waiting. A handover document written by the person leaving captures the parts they remember and are happy to mention. The conversations themselves are the only complete version.
Measure the exposure before anyone resigns
The number that decides how bad a departure will be is how many of your customers know exactly one person at your company. If a customer has only ever spoken to the departing rep, the relationship is single-threaded, and it goes quiet the day that rep stops answering, whatever your archive says.
This is measurable today, on the team you currently have, with nobody resigning. Rep turnover builds the handover report for any rep at any time: which customers only know them, which threads they have open, what they have promised in writing. Running it while everyone is still employed is what turns it from a post-mortem into a plan. The fix for a single-threaded account is to introduce a second person while things are calm, and that takes a month you do not have once notice is in.
The departure-week checklist
- Decide the number’s future: reassign or retire. Reassigning keeps the customer’s saved contact working, which is the whole prize. Retiring takes it out of service while the archive stays readable.
- Hand the phone to the successor and relink. One QR scan, about a minute. The archive behind the number is untouched either way: it is append-only by construction and does not depend on who holds the handset.
- Work the open conversations by wait time. Sort the departing rep’s threads by how long each customer has been waiting and answer the oldest first, from the history, not from a briefing.
- Pull the single-threaded list one more time. Anyone who only knew the departing rep gets a proper introduction to the successor, from the same number the customer has always used.
- End the departing rep’s access. Their login stops reading the archive; every view they made while employed stays in the access log.
What the archive does not preserve
Honesty about the limit: the archive preserves the record, not the rapport. A customer who liked your rep may follow them anyway, and a departing rep who wants to move a relationship to their personal number can try. You will be able to see that the conversation moved, not what was said after it did.
